Event Registration

See who’s signed up for your event, move people off the waitlist, and download your attendee list as a spreadsheet.

View registrations

  1. Go to Events and open the event.
  2. Scroll to the Registrations section.

You’ll see a table with every registration. Each row shows the member’s name, email, status, and when they registered. For paid events, you’ll also see their payment status and any payment deadline.

Use the filter dropdowns to narrow the list by status (Registered, Waitlisted, Attended, Cancelled) or by payment status (Paid, Pending, Failed).

Note: To check in attendees on the day of the event, see Event check-in.

Registration statuses

Status What it means
Registered Signed up and has a confirmed spot
Waitlisted Signed up but the event was full at the time
Attended Checked in at the event
Cancelled Registration was cancelled

For paid events, each registration also has a payment status:

Payment status What it means
Pending Payment not yet received
Paid Payment complete
Failed Payment attempt failed
Refunded Payment was returned

Manage the waitlist

When your event reaches capacity, new registrations go straight to the waitlist. Somiti tracks each person’s position automatically.

When someone with a Registered status cancels, Somiti promotes the first person on the waitlist to Registered and sends them an email letting them know they’ve got a spot.

Promote someone manually

If you want to move someone up without waiting for a cancellation:

  1. Find the person in the registrations list (filter by Waitlisted to see them all).
  2. Click the promote icon next to their name.
  3. Confirm when prompted.

They’ll receive an email notification that they’ve been promoted from the waitlist.

You can also use Promote Next at the top of the registrations panel to promote the next person in line in one click (the button appears when the event has capacity and there are people waiting).

Note: The promote button only appears when the event has available capacity. If the event is still full, you’ll need to cancel a registration first.

Cancel a registration

  1. Find the registration in the list.
  2. Click the cancel icon (the X circle) on the right side of the row.
  3. Confirm when prompted.

The registration is marked Cancelled. If the event has a waitlist, Somiti automatically promotes the next person in line.

Warning: Cancelling a registration doesn’t automatically issue a refund. If the member paid, handle the refund separately in Payments.

Payment deadline cancellations

For paid events, each registration has a payment deadline. If a member doesn’t pay before the deadline, Somiti cancels the registration automatically and sends them an email. The freed-up spot then goes to the next person on the waitlist.

You can extend a member’s payment deadline from the registrations list. Click the clock icon next to their name to add 24 hours.

Export registrations

  1. Open the event and go to the Registrations section.
  2. Click Export at the top right.
  3. A CSV file downloads to your computer.

The export includes: Name, Email, Phone, Status, Payment Status, Amount Paid, Registered At, Attended At.

You can open the file in Excel or Google Sheets.
