Common questions about membership dues

How do I know if my dues are too high or too low?

Look at two things: your costs and your members' willingness to pay.

Your dues need to cover all your expenses plus a small buffer. If you're constantly fundraising or dipping into reserves, your dues are too low.

But if you're struggling to attract new members or seeing lots of drop-offs at renewal time, you might be priced above what your community can afford. The calculator above shows you the minimum you need to charge. What you actually charge depends on your specific community.

Should I offer monthly or annual billing?

Annual billing is simpler for everyone. You get the money upfront. Members pay once and forget about it. No monthly reminders, no failed payments to chase.

Monthly billing works better when your dues are high (over $200/year) or when you're trying to attract younger members who prefer smaller, predictable payments.

If you go monthly, consider charging slightly more overall. A $100 annual membership might be $10/month ($120/year). This covers the extra admin work and payment processing fees.

What's a typical membership fee for a community club?

It varies widely by organization type and what you offer. Here's what we see:

  • Social clubs and hobby groups: $25-$75/year
  • Cultural associations: $50-$150/year
  • Sports leagues with facilities: $100-$300/year
  • Professional networking groups: $100-$250/year
  • PTAs and parent groups: $10-$25/year

The key is covering your costs. A small book club with no overhead can charge $20. A club that rents space and hosts events needs more.

How much reserve should we keep?

Most small clubs do well with a 10-20% buffer built into their annual dues.

This covers unexpected costs. The venue raises its rates. Insurance goes up. You need to buy new equipment. Without a buffer, you're scrambling or passing a hat around.

Some organizations also keep a separate emergency fund equal to 3-6 months of operating expenses. This is smart if you have fixed costs like rent that don't stop if membership drops.

Should we have different membership tiers?

Tiers work well when you have distinct member types with different needs.

Common examples: individual vs. family memberships, student/senior discounts, or basic vs. premium access levels. A tennis club might have social members (no court access) at $100/year and playing members at $300/year.

Don't overcomplicate it. Two or three tiers is plenty for most clubs. More than that and you're creating admin headaches for yourself.

What if we can't agree on the price?

This happens more than you'd think. One person wants to keep dues low to attract members. Another is worried about the budget.

Start with the numbers. Use the calculator above to find your break-even point. That's not opinion. That's math.

Then discuss: do we want to run lean with lower dues, or build a reserve for bigger activities? There's no right answer. But at least you're debating goals, not guessing at numbers.
